Privacy Policy

This policy explains how RacquetOps handles personal information when you visit our website, create an account, use our pro-shop platform, pay an invoice, or otherwise interact with us.

1. Scope and our role

This Privacy Policy applies to the RacquetOps website, applications, and related services (the “Services”). “RacquetOps,” “we,” “us,” and “our” refer to the operator of the Services.

RacquetOps provides software to independently owned racquet-sports shops and clubs (“Shops”). A Shop generally decides why and how customer and employee information in its workspace is used. For that information, the Shop is the business or controller and RacquetOps acts as its service provider or processor. Questions about a Shop’s practices, including its marketing messages, service records, or retention choices, should usually be directed to that Shop. We are responsible for information we use for our own purposes, such as account administration, security, support, and operation of the Services.

2. Information we collect

Depending on how you use the Services, we may collect:

  • Account and profile information, such as name, email address, profile image, password hash, authentication provider, role, and Shop memberships.
  • Shop information, such as business name, contact details, website, address, business hours, logo, staff invitations, supported services, and information used to verify a store claim.
  • Customer and service information entered by Shops, such as customer names, contact preferences, addresses, notes, tags, racquet specifications and history, stringing instructions, jobs, demos, invoices, and communications.
  • Transaction information, such as invoice amounts, payment status, payment method category, provider references, and receipts. Payment card details submitted through online checkout are collected directly by Stripe, not by RacquetOps.
  • Communications, including support requests, email delivery details, replies, and other messages you send through or about the Services.
  • Files and content, such as avatars, Shop logos, product images, CSV imports, customer-visible notes, and other information users upload.
  • Device and usage information, such as IP address, browser and device type, timestamps, requested pages, session information, input-masked session replays, security events, and diagnostic logs. Form input values are masked in session replays.
  • Information from third parties, such as Google account profile data when you choose Google sign-in, Google Places business information, payment confirmations from Stripe, and information provided by a Shop that serves you.

3. How we use information

We use personal information to:

  • provide, maintain, personalize, and improve the Services;
  • authenticate users and administer accounts, Shops, roles, and invitations;
  • process Shop workflows, including service jobs, tracking, inventory, demos, invoices, payments, receipts, and customer communications;
  • review store claims and support public Shop pages;
  • respond to support requests and send administrative or transactional messages;
  • monitor reliability, prevent fraud and abuse, and protect users and the Services;
  • comply with law, enforce our agreements, and establish or defend legal claims; and
  • create aggregated or deidentified information that cannot reasonably identify an individual.

4. How we disclose information

We may disclose information to:

  • Shops and their authorized users. Information in a Shop workspace is available to that Shop and staff according to their assigned permissions. Customers may receive selected job, racquet, demo, or invoice information through account or secure public links.
  • Service providers. We use vendors for hosting and infrastructure, database services, cloud file storage, authentication, email and SMS delivery, payment processing, product analytics, security checks, and technical support. These may include Amazon Web Services, Google, Stripe, PostHog, Resend, Twilio, and Cloudflare, depending on the features used.
  • Professional advisers and authorities. We may disclose information when reasonably necessary to comply with law, protect rights or safety, investigate abuse, or obtain legal, accounting, insurance, or similar advice.
  • Business transaction participants. Information may be disclosed in connection with a financing, merger, acquisition, reorganization, sale of assets, or similar transaction, subject to appropriate protections.
  • Others at your direction. We may disclose information when you request it or give consent.

We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising, and we do not use third-party advertising trackers on the Services.

5. Public and shared information

Some features are designed to share information. Public Shop pages may display a Shop’s name, logo, description, address, contact details, hours, services, and available inventory. People with a secure tracking, QR, or invoice link can view the information made available at that link. Users are responsible for sharing these links only with intended recipients. Search engines may index public Shop pages.

6. Cookies and similar technologies

We use cookies and similar technologies for sign-in, session management, security, preferences, product analytics, and core operation of the Services. Third-party features and providers such as Google sign-in, Stripe Checkout, PostHog, or Cloudflare Turnstile may set or read their own cookies and receive device or usage information under their privacy policies.

Because there is no universally accepted standard for browser “Do Not Track” signals, the Services do not currently respond to them. We do not sell or share personal information for targeted advertising. Where applicable law requires us to recognize an opt-out preference signal, such as Global Privacy Control, we will treat it as a request for the browser or device that sends it.

7. Data retention

We retain information for as long as reasonably necessary to provide the Services, follow a Shop’s instructions, maintain business and transaction records, meet legal obligations, resolve disputes, enforce agreements, and protect the Services. Retention periods vary based on the type and sensitivity of information, the purpose for which it was collected, and applicable legal requirements. We may retain aggregated or deidentified information where permitted by law.

8. Security

We use administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. You are responsible for using a strong, unique password, protecting your credentials and shared links, and promptly notifying us of suspected unauthorized access.

9. Your choices and privacy rights

You may update certain profile and Shop information in the Services, adjust communication preferences through the Shop that serves you, or contact us to request access, correction, deletion, or a copy of personal information for which RacquetOps is responsible. Depending on where you live, you may also have rights to restrict or object to processing, withdraw consent, appeal a denied request, or receive information about data practices.

Submit a request through our support page. We may need to verify your identity and authority before completing a request. You may use an authorized agent where permitted by law. We will not discriminate against you for exercising a privacy right. If your request concerns information controlled by a Shop, we may direct you to that Shop or assist it in responding.

10. California notice

In the preceding 12 months, we may have collected the categories described above, including identifiers; customer records information; commercial information; internet or electronic activity; approximate geolocation derived from IP or Shop address information; professional or employment-related information for Shop staff; account credentials; and inferences drawn from service activity. We collect, use, retain, and disclose these categories for the business purposes described in this policy.

We may disclose these categories to Shops, service providers, authorities, advisers, and transaction participants as described above. We do not sell these categories or share them for cross-context behavioral advertising. We do not use or disclose sensitive personal information to infer characteristics about individuals. California residents may request to know, access, correct, or delete covered information and may exercise other rights provided by applicable law using the process in Section 9.

11. Children

The Services are not directed to children under 13, and we do not knowingly collect personal information directly from children under 13. If you believe a child has provided us personal information in violation of applicable law, please contact us. Shops are responsible for obtaining any consent required before entering information about minors into their workspaces.

12. International use

RacquetOps operates in the United States. If you access the Services from another country, your information may be transferred to and processed in the United States and other countries where our providers operate. Those countries may have different data-protection laws than your country.

13. Changes to this policy

We may update this policy from time to time. We will post the updated version here, revise the “last updated” date, and provide additional notice through the Services or by email when required by law. Material changes apply prospectively unless otherwise permitted by law.
